Vent: tried running my whole punch list off voice memos on site and it cost me $2,400
I got tired of hauling a clipboard up ladders so I started recording walkthrough notes on my phone and emailing them to myself, but three subs swore they never got the change about the door swings on the Riverside job. Turns out half my memos got buried in spam and I ate the rework out of pocket. Anyone got a system that actually holds up when you're juggling six trades at once?
The spam folder is not what ate your $2,400. Subcontractors get a ton of email and most of them never open the ones from the office, spam or not. What you need is a paper trail each sub has to sign off on, even if it's just a photo of a written note texted straight to their foreman. A voice memo to yourself was never proof of anything, it was just a note, and notes you can't show in a meeting don't win. Try a group text thread per trade and make them reply "got it" so it's in writing on their own phone.
